Comparison

entropyFA vs advisor CRMs

entropyFA is a full advisor CRM. It also does the financial work your CRM sends you somewhere else to do.

The Short Version

One workspace instead of the stack

An advisory firm runs on a stack of disconnected tools — planning here, CRM there, a notetaker bolted on, tax in a fourth system, research in a fifth. Each is a separate subscription, and each holds its own partial copy of the client.

entropyFA is one workspace with the agent at the center. The CRM is not a bolt-on to an analysis tool, and the analysis is not a bolt-on to a CRM — they are capabilities of one system working from one structured picture of the household. That is what makes cross-domain work possible at all: a tax-aware portfolio change that respects the estate plan, the cash-flow plan, and what the client said in last week's meeting.

CRM

Pipeline from prospect through onboarding to client, people and typed relationships, notes, tasks, and one relationship timeline per household.

Meeting notetaker

Joins the virtual meeting, transcribes it, and files agenda, prep, and notes against the household.

Financial planning

Plans, projections, scenarios, and goals, with deterministic engines wherever the math must be exact.

Tax analysis

Tax-aware portfolio tradeoffs, projections, and the year's opportunities, read from the household's actual positions.

Portfolio analysis

Holdings, allocation, drift, and risk across every account in the household.

Estate analysis

Entities, titling, beneficiaries, and how the structure interacts with the plan.

Investment research

Security and fund research and due diligence, tied to the portfolios you actually hold.

Proposals & deliverables

PDF, DOCX, PPTX, and XLSX output generated from your firm's own report templates.

Document management

Parsing, classification, revisions, secure client document requests, and sharing controls.

Client onboarding

Client portal, document-request links, and the onboarding stage of the pipeline.

The Real Difference

Your CRM knows what the client said. It does not know what it costs.

A client mentions retiring two years early. Every CRM here can log that, and some will draft the follow-up email and flag the task. None of them can tell you what it does to the plan, which lots to sell to fund it, what the tax cost is across their accounts, or whether the estate documents still work afterward — because a CRM does not hold the portfolio, the tax lots, or the documents.

entropyFA answers those questions from the same record that holds the meeting note, and prepares the work for you to review. Agents propose; people decide.

FAQ

Questions firms ask

Is entropyFA a full CRM?

Yes. It carries the pipeline from prospect through onboarding to client, the people and typed relationships behind each household, notes, tasks, calendar, email, documents, and a unified relationship timeline. What separates it from a conventional advisor CRM is that financial planning, tax, portfolio, and estate analysis run on the same record, so the client history and the analysis are not in two different systems.

Do I have to give up Wealthbox, Redtail, or Salesforce?

You can move off them, and that is the point of consolidating the stack. Most firms evaluating entropyFA are trying to reduce the number of systems holding a partial copy of the client, not add one. Ask us about migrating your existing book when you talk to our team.

How does email and calendar work?

You connect your work email and calendar account. Messages and events sync in, inbound email is routed to the right household with the evidence for that routing shown, and outbound email goes out only after explicit confirmation. The agent can draft, but nothing sends itself.

What does entropyFA do that an AI-powered CRM does not?

CRM AI works on CRM data — notes, emails, tasks, activity. It can draft the follow-up and flag the overdue item. It cannot tell you which lots to sell, what a Roth conversion costs across brackets, or whether the estate structure still fits, because a CRM does not hold positions, tax lots, or estate documents. entropyFA holds all of it, which is what makes cross-domain work possible: a tax-aware portfolio change that respects the estate plan, the cash-flow plan, and what the client said in last week's meeting.

Is the AI allowed to act on its own?

No. The agent prepares work and proposes changes; people decide what gets acted on. Outbound email requires explicit confirmation, agent changes are reversible, and every agent run is recorded with its steps and evidence.

What about marketing campaigns and list segmentation?

Those are not part of the platform today. Firms running email marketing campaigns should expect to keep a dedicated tool for that.

Bring a real household and the work you would normally do by hand this week — the meeting, the plan, the tax question, the follow-through. That is the comparison that settles it.
